A practical real-estate lead follow-up template
Use this template to make ownership and the next action clear. It works as an operating checklist for a small team and as a starting point when discussing a lead management setup.
The lead record
Record: lead reference, received date, source, assigned owner, contact preference, property or project interest, stated requirements, current status, last action, next action and next-action date. Keep customer details in your approved business system.
After the first call
Record whether you connected, the prospect’s stated requirement and the agreed next step. If there was no answer, record the attempt and assign the next action according to your team’s contact policy.
Before a site visit
Confirm the project, meeting point, date, time and responsible team member. Record whether the appointment is confirmed or needs rescheduling.
After the visit
Record attendance, the prospect’s feedback and the agreed follow-up. A lead should have a clear next action or a recorded reason that no further action is needed.
Daily team review
Look for unassigned enquiries, overdue actions and visits awaiting an outcome. Discuss exceptions with the owner. Use your baseline to decide whether the routine is improving follow-up; this template does not promise a particular sales result.
