Facebook Lead Ads for Real Estate: Why Leads Go Cold, and How to Call Back in Minutes

If you run Facebook or Instagram lead ads for a project, you already know the pattern. The form fills come in, the team calls some of them the next day, half don't pick up, and by the weekend nobody is sure who was called, who wasn't, and who has already booked a site visit with another channel partner.

The ads are usually not the problem. The follow-up is. A buyer who fills a form on their phone at 9 pm is comparing three or four projects that same evening. The team that calls first, remembers what the buyer asked, and follows up without being pushy is the one that gets the site visit.

Here is a follow-up system any real-estate team in India can run, with or without software.

1. Get every lead out of Facebook within minutes

Meta keeps your leads inside Ads Manager. If someone downloads a CSV once a day, every lead is already hours old before anyone sees it.

  • Connect your lead forms to wherever your team works (a Lead Management System, or at minimum a shared sheet that updates automatically).
  • Record the source with every lead: which campaign, which form, which project. Without it you can't tell later which ads bring buyers and which bring only form fills.

2. Give every lead one owner, immediately

"The team will call" means nobody calls. Each new lead should land with one named telecaller the moment it arrives.

  • Rotate new leads between your callers (round robin) so the load is fair.
  • If a caller is on leave, the rotation should skip them automatically.
  • The owner's name should be visible on the lead, so a manager can see at a glance who is responsible.

3. Set a first-call rule and actually measure it

Decide your rule and write it down, for example: every new lead gets a first call within 15 minutes during working hours, and before 10:30 am the next morning if it arrives at night.

The exact number matters less than having one. What gets measured gets done, so check it every week: how many new leads were called within the rule, and which ones weren't.

4. Have a routine for "call not picked"

Most first calls in India are not picked up. That is normal, not a lost lead. What loses the lead is giving up after one try.

A simple routine:

  1. Missed call 1 → send a short WhatsApp right away: who you are, which project, "When is a good time to call?"
  2. Missed call 2 (later the same day, different time slot) → try again.
  3. Missed call 3 (next day) → a final call. If there's still no answer, mark the lead No response, not Lost, so it can be revisited in a campaign later.

Log every attempt. The next caller (or you) should see exactly what happened without asking anyone.

5. Capture the four things that qualify a buyer

On the first real conversation, note:

  • Budget (a range is fine)
  • Configuration (1/2/3 BHK, plot, commercial)
  • Preferred location or micro-market
  • Timeline (buying now, in 3–6 months, just exploring)

These four fields decide which project to pitch and how hard to follow up. They also tell you, at month end, which campaigns bring real buyers.

6. Turn interest into a booked site visit

A site visit is the step that matters in real estate. When a buyer says "interested", book the visit on the call, with a date and time, and send the location on WhatsApp. The day before, confirm. After the visit, note the outcome the same day.

7. Review lost reasons every week

When a lead is lost, record why: budget mismatch, location, bought elsewhere, not reachable. After a month you'll see patterns (for example, one campaign bringing mostly out-of-budget leads) that tell you where to fix your ads rather than your team.
